Most businesses do not fail here because they need something fancy. They fail because the workflow is split across a phone log, a shared inbox, text messages, and whoever remembers to call back. There is no single place where a new inquiry becomes an assigned next action with a timestamp, owner, and follow-up rule. So even when someone does call back, the response is inconsistent, late, or disconnected from the original request.

What to actually do

Start with one rule: every inbound call, form, or message should land in one queue with a required next step. If no one answers, trigger a same-day callback task and a simple acknowledgment message, then track whether it was closed, booked, or lost. Do not buy more software until you can see that handoff clearly and enforce it every time.
