No Written Rules Means Your Best Person Becomes the Bottleneck

This week, across MSP, property management, bookkeeping, and consulting threads, the same complaint appeared in different words. A property management operator described their first six months as "utter chaos every day" - no workflows, no meetings, no organization. An MSP technician described a monitoring tool that fires CPU, RAM, and storage alerts constantly, with no rule for when an alert means "call the client about an upgrade" versus "dismiss and move on." A consulting firm ran a two-hour monthly recap meeting and handed someone the job of building a Drive structure from scratch afterward.

Why it matters

When there is no written process, your most experienced person carries the system in their head. That person becomes the decision point for every exception, every handoff, and every new hire question. If they get sick, quit, or take a week off, the business slows down or stops. You cannot delegate, automate, or sell a business that lives in someone's memory.

What usually breaks

Triage breaks first. Without a documented rule for what counts as urgent, every alert, every client message, and every task lands in the same pile and gets sorted by whoever is loudest or most available. MSPs see this clearly: the monitoring tool fires dozens of alerts a day, but no one has defined which pattern means "schedule an upgrade conversation" versus "log and ignore." The result is alert fatigue - the operator stops trusting the system entirely and starts handling everything manually, which defeats the point of having monitoring at all. What to actually do

Pick one recurring situation that pulls you or your senior person into a judgment call at least twice a week. Write the rule for it - not a full manual, just: if this condition, then this action, owned by this person. Run it for two weeks. That one rule, written and followed, unlocks more capacity than any new software tool.
